Job Description:

We are presently hiring “HR/Admin Officer’’ for 3 months period commencing from March 1st – May 31st 2015.

The selected candidates will be deputed to one of the leading organization in Dubai.

Roles and Responsibilities.

1. HR Management

• To safe keep all personnel record of employees and update the same from time to time. Maintain confidentiality of all information and pass the necessary information to authorized personnel only.
• Ensure that all staff have completed necessary documentation (date of joining, employee data, passport collection, visa etc.) before starting to work at the location assigned.
• Arrange for induction and training of new staff prior to assigning to work location.
• Provide support in recruitment such as receiving and short-listing of resumes, scheduling interviews, issuing of offer letters, collecting of required documents from the staff and handing over to PRO for visa processing.
• Coordinate with PRO for visa processing and ensure timely completion/
• Ensure that all staff maintains punctuality. Keep track of all absenteeism and report the same to Finance Department for payroll processing.
• Coordinate with each Department Head for approval of vacation and processing of air fare.

2. Administration

• Ensuring that the administration of the corporate office run smoothly. All necessary supplies are provided to all staff and ensure the proper repair and maintenance of – Computer system, telephone, internet connection, attendance machine, etc
• To ensure that all facilities provided is serviced, maintained properly and there should be no misuse of these facilities provided to staff.
• Update and keep track of passport renewal date, employment visa renewal date, labour card, emirates ID on timely basis.
• Coordinate with the Management staff for the travel schedule of all business trips and make necessary arrangements like visa, hotel booking, and airfare.
• Coordinate and arrange travel for new candidates joining the company and also staff leaving for vacation.
• Obtaining approvals from Mall Management for any maintenance works, stock inventory.
• Raise LPO for stationery items and other consumable goods and obtain approval from Finance. Ensure proper control to minimize stationery and consumable costs.
• Coordinate with suppliers and schedule trainings for staff.
• Coordinate with all shop-in-charges for change in timings, sales meetings, staff relocation, etc.
• Ensures that stationery items are in place during store openings.
• Coordinate with Management for staff uniforms.
